GDPR Policy / Privacy Notice

Who controls your data

Sylwia Karolina Janiec, sole trader trading as Bilingual Learning Consultancy (BLC), decides how personal data is used for the teaching business. Address: 2 College Farm, Newbridge, Co. Kildare, Ireland. Email: [email protected]. Telephone: 0873210630.

Data and purposes

BLC uses the identity and contact details needed for enquiries, bookings, agreements, lessons and platform access; payment and accounting records; and attendance, progress, submitted work, feedback and course communications needed to teach and administer the service. Appointment administration includes cancellations, non-attendance and responding to related queries. Details of platform security and activity records are set out separately below.

For a child, BLC normally communicates contractual and payment matters with the parent or legal guardian. A child’s own telephone number is not required without a specific necessary purpose. Only necessary information is collected; children must receive understandable information about its use.

Lawful bases

Necessary processing of the contracting Client’s details is based on performance of the contract, including requested steps before entering it. Accounting and other legally required records rely on the relevant legal obligation. Necessary processing for a child’s booked teaching, learning support, platform security, appointment administration and proportionate handling of course-related concerns may rely on BLC’s legitimate interests only where the necessity and balancing assessment supports it, giving particular weight to children’s rights and best interests. The parent’s contract is not automatically the contractual basis for all processing of the child’s data.

Optional marketing and any optional identifiable research or recording require the applicable separate information and lawful basis. Where consent is relied upon, it may be withdrawn without affecting processing already lawfully undertaken. Signing a course agreement is not blanket consent to optional uses. Applicable rights of objection and erasure remain available.

Service providers and international transfers

Necessary data is handled by the providers used to deliver the service, including Stripe for payments, Google Meet for online lessons, and hosting, learning-platform, email and booking providers. Access is limited to authorised people and service providers who need it for the relevant purpose. Some providers may process data outside the European Economic Area. Any such transfer must have an applicable legal transfer mechanism, such as an adequacy decision or appropriate contractual safeguards. Contact BLC for the applicable provider and safeguard details before sharing information if you need clarification.

Course accounts and student work

For school-year examination-preparation participants, BLC retains account records and submitted work needed to clarify teaching-related concerns after examination results until the end of August of the year the course ends. For Foundations 2026/2027, this means the end of August 2027. At the start of the next school year, former course accounts and identifying course-work records are deleted. Continued participation requires a separately agreed programme and its relevant account arrangements.

This administrative retention does not extend teaching, platform access or recurring payments. For Foundations, course participation and fees end at the end of June 2027, or earlier under its cancellation terms. Applicable erasure requests are not automatically deferred until September. Necessary retention must have an applicable lawful basis.

Anonymous work may remain for internal analysis of learning needs, recurring topics and improvements to future course modules. Work containing identifying information is deleted, or the identifying details and links are removed before it is kept for that purpose. A change of the account shown as author is an administrative storage step and does not transfer actual authorship or copyright. No individual should remain reasonably identifiable from the retained material or its links. Publication, marketing and doctoral research are separate uses requiring appropriate information and permissions.

Other retention

Payment, accounting and agreement records required by law, or limited records necessary for a specific unresolved complaint or legal claim, may be retained separately for the required or necessary period, with restricted access. Their retention depends on the applicable obligation or the duration of that specific matter; it does not justify keeping every former student’s account indefinitely. Enquiry and appointment records are kept only while needed to respond, administer the requested service and resolve related matters, then deleted unless a separate lawful retention reason applies. Security logs, alert emails and backups follow the schedules stated below.

Closing an account does not mean that every invoice, email, log or backup disappears immediately. Records must be reviewed for their separate purpose and securely deleted or effectively anonymised when no longer needed. A retention date does not shorten any statutory right to complain or bring a claim.

Your rights

Subject to applicable legal conditions, you can request access, correction, erasure, restriction or portability, object to processing, and withdraw consent where processing relies on it. Email [email protected]. Children have rights in their own data; a parent or guardian may help exercise them where appropriate to the child’s age, capacity and rights.

You may complain to the Irish Data Protection Commission. An erasure request is assessed under the applicable law; necessary legal-obligation or legal-claim records may be exempt from erasure.

Cookies and policy changes

The Cookie Policy explains cookies and preference controls. Where consent is required for optional cookies, it must be obtained and can be withdrawn through the available controls. Cookies are not automatically anonymous simply because they relate to a website.

BLC will provide relevant information before using personal data for a new purpose and update this notice when practices change. A policy update is not blanket permission for new processing or a unilateral change to a signed agreement.

Activity log on the student platform (student.polishonline.ie)

English. To protect course materials, keep the platform secure and resolve technical issues and questions about learning, we record student activity in the logged-in area of student.polishonline.ie: logins, logouts and failed login attempts (time, IP address, device; nothing that was typed), the courses, lessons, topics and quizzes opened with the time spent active and idle on the page and scroll depth, progress, results and the content of submitted mock exams, audio playback, and device details (browser, system, device type) with the full IP address. During quizzes and exams we note switching to another tab or application and the time the window was inactive. We also record browser signals about copying, printing and saving content, use of the screenshot key and developer tools; when text is copied or a selection is dragged we store its full content. We do not record typed characters, passwords, pasted content or form values (other than the content of submitted mock exams), and we do not use the camera, microphone or location. Selected events (copying text, removing the copy protection, the screenshot key, printing, saving a page, developer tools) trigger an email to the platform administrator ([email protected]). We keep the data for 365 days from the event and then delete it automatically; database backups are kept for up to 30 days. Copies of alert emails (with an excerpt of the copied text) are deleted after 90 days, or sooner on an erasure request. Only platform administrators can access the log. We do not make automated decisions based on this data; browser signals are an indication, not proof. You have the right of access, erasure, restriction of processing and objection, and the right to lodge a complaint with the supervisory authority (in Ireland: the Data Protection Commission). If the student is a minor, a parent or legal guardian may exercise these rights. To exercise these rights, write to [email protected].

Polski. Wybrane zdarzenia (kopiowanie tekstu, wyłączenie ochrony przed kopiowaniem, klawisz zrzutu ekranu, drukowanie, zapis strony, narzędzia programisty) powodują wiadomość e-mail do administratora ([email protected]). Dostęp do dziennika mają wyłącznie administratorzy platformy.
